Your Purpose

This is an exciting opportunity for the right professional to contribute to the start-up and development of the newly established MSC Site Office in Papenburg. The Office Manager is responsible for overseeing all activities related to office operations, facilities management, employee onboarding, and administrative support for personnel within the MYM Papenburg division, as well as its external collaborators. This is a permanent employment. 

Your Impact

Site Office Administration

  • Ensures office compliance with Health and Safety regulations and company policies.
  • Manages the calendar of pick up and transfer from airports for MYM employees and Office Employees. 
  • Organises business travel according to the instructions of the Site Director.
  • Manages the access into the construction site of visitors as per MEYER and MSC requirement and ensure that prevention plans are updated and in line with local regulations. 
  • Provides administrative support and relations with various hotels and accommodation facilities to support the stay of MSC staff based at Site Office during their time in Papenburg and the latest construction phase. 
  • Requests drawings, manuals, technical documentation, and other relevant information from yard, as required by the Ship Construction Manager
  • Supports the Ship’s construction Manager in filing and archiving inspections and drawings into the Office database related to the Ships under construction in Papenburg.  
  • Manages the set-up of the meeting rooms, kitchenette and store (clothing, PPE, etc for visitors only). 
  • Manages the set-up of the meeting rooms on board prior sea trials (attendance on board could be needed but not deemed). 
  • Manages the stationery also with direct and / or scheduled purchases prior approved by Site Director. 
  • Ensures that maintenance at the Site Office is done by requesting assistance to the appointed provider.
  • Ensures that cleaning and garbage collecting at the Site Office is done by the appointed provider.
  • Provides Administrative support and relation with our Agent for the follow up documentation related to MYM employees and seafarers based at Site Office during the latest construction phase.       

 

HR & Accounting Management 

  • Assists with office and HR projects related to the set up and development of the organisation.
  • Process starters and leavers on the Company HR system (Success Factors and Opnet) and the payroll systems. 
  • Assists with employee onboarding, induction and coordinates their probation process.
  • Supports MYM Employees during the search of apartments and car lease in the area by dealing directly with local agencies. 
  • Follows the employee lifecycle becoming their first point of contact for HR and administrative related matters (i.e. ensuring presence and absence is appropriately logged on the systems, obtaining medical certificates for sickness, drafting letters and documents for employees, responding to general queries in relation to HR or payroll/benefits matters, etc). 
  • Follows the administration of the company Individual Performance Management process.
  • Manages the occupational medicine appointments for MYM employees.
  • Supports with payroll and tax office (i.e. helps the Site Director preparing the file with the entries for payroll and to check the monthly payroll).
  • Supports Site Director in managing employee relations. 
  • Helps with writing new company policies and reviewing current practices. 
  • Prepares management and ad-hoc reports for HR or the Local/Group Finance team. 
  • Files and archives travel expenses forms for MYM employees. 
  • Provides support for the accounting documents and invoices related to the activities and costs incurred by the Site Office for the Construction phase of the vessel built as MEYER WERFT.

Your Journey so far

  • Teamwork, excellent organizational and problem-solving skills. 
  • Excellent communication, relational and organizational skills. 
  • Good ability to work independently. 
  • Availability to work longer hours during the preparation of sea trials and during the last weeks before ship’s delivery. 

Your Essentials

  • Several years of qualified HR experience. 
  • Fluency in German and English, knowledge of Italian is a plus.  
  • Excellent knowledge of the MS Office package. 
  • Existing right to live and work in the EU.
